Westside Music Social Club
From a first jam night to a self-funding nonprofit in under a year
Formation & Strategy ConsultingWestside Music Social Club brings amateur musicians and music lovers in Seattle together for live jams, networking and chances to perform. Constellations founder Adriana Castro Ruiz co-founded the club and built its legal structure, governance and membership model from scratch. In its first year the club grew to more than 130 members, hosted 20+ events and earned IRS tax-exempt status, and it pays its own way through membership.

To 501(c)(7)
The Challenge
The founders wanted a recurring, low-pressure space where amateur musicians could jam, meet other players and get on stage, without it depending on one person's time or wallet. To last, the club needed three things it did not have: a legal structure that fit a member-based community, a board to share decisions, and a way to cover its costs while keeping membership affordable.
Our Approach
- Selected 501(c)(7) nonprofit structure
- Completed Washington State incorporation and IRS filing
- Designed 9-member Board of Directors
- Built self-funding membership model
- Launched growth strategy through partnerships
Results
Active members: 100+ monthly
Tax status: IRS 501(c)(7) tax-exempt confirmed
Governance: 9-member Board in place
Funding: Self-funded through membership
Events: Green Room jams and summer showcases
Next: Westside Rock Revival, October 2026
What This Means for Your Business: Whether you're starting a nonprofit, a social club or a small business, the same groundwork applies: pick the structure that matches how you will operate, set up decision-making early, and build a revenue model that covers your costs before you grow.
Friends Beyond Boston
Nine years of community history, now one clear view of members and money
Friends Beyond Boston has brought its community together for nine years. Constellations Consulting combined its member and payment history from Meetup and Heylo and built a tracking system that shows the community leader, at a glance, who the members are and where the finances stand.
History organized
Consolidated
Of members and finances
The Challenge
Nine years of records lived on two platforms, Meetup and Heylo. There was no single place to answer basic questions: who is an active member, who is on a trial, how long someone has been part of the community, who has earned an anniversary perk, and how much money is available for the next event.
Our Approach
- ✓ Migrated Meetup and Heylo data into one member record
- ✓ Defined clear rules for member status (active, trial, inactive) and member age (time in the community)
- ✓ Designed a method for managing anniversary perks as members reach each milestone
- ✓ Built a financial tracker that summarizes dues and expenses by month and year
- ✓ Set up a simple routine to keep it current: paste in the latest export and everything updates
Results
Membership visibility: status, member age, and anniversary perks for every member, in one place
Financial visibility: income, expenses, and money available by month and year, with a trend chart
Better decisions: the community leader plans events, perks, and budgets from real data
Easy upkeep: updated in minutes, with no formulas to touch
What This Means for Your Organization: Long-running communities often have years of history spread across apps. Our Operations & Business Intelligence service brings that history together, sets the rules that matter, and gives leaders a clear view of their members and money. Want to build these skills yourself? Data and Spreadsheets 101 teaches the same approach.
Meet the Team
Adriana Castro Ruiz
Founder
I'm a Seattle-based consultant who started Constellations to help founders build businesses the right way—with clarity, purpose, and strategy from day one. I've spent my career transforming ambiguous "what-if" questions into data-backed strategies, and I'm passionate about helping new business owners skip the painful early mistakes I've seen (and made!) along the way.
My background is unconventional. I've worn many hats: as a Product Manager at AT&T and Unity, I learned to translate complex data into human-centered strategy. As a data analyst, I discovered the power of asking the right questions. And as a co-founder of the Westside Music Social Club—a nonprofit connecting independent musicians and community—I learned firsthand how to launch something with purpose and build it sustainably.
Good launches don't happen by accident.
Daniel Rosales
Partner & Data Instructor
Daniel builds the systems that turn a business's numbers into decisions. He's a data engineer and software developer with years of experience at Amazon Web Services and Starbucks, and he holds advanced degrees in computer science and business. At Constellations he reviews every program we teach and leads our data and database training, including Data and Spreadsheets 101. His focus is on setups small businesses can keep running without an IT team: clean spreadsheets, simple databases and dashboards that show what's working.
Donielle Sims
Program Management & Creative Operations Consultant
I'm a Seattle-area consultant with 15 years of experience building and leading teams, bringing structure to complex work, and helping people turn ideas into action. I believe strong businesses start with supported teams, clear priorities, and practical ways of working that make growth manageable.
My background spans program management, creative operations, and embedded team leadership. As a Director of Program Management at SketchDeck, I've brought together creative talent, clients, and partners to move ambitious projects forward. My work connects the big picture with the everyday decisions that make delivery possible: who's doing the work, what they need to succeed, and how to keep priorities, budgets, and timelines aligned.
What I enjoy most is helping people do their best work. Whether I'm developing team leaders, untangling a complicated workflow, or helping a business navigate change, I bring a collaborative, hands-on approach. I listen, ask questions, and build solutions around the people who will use them.
Through my consulting work, I help growing businesses build capable teams and dependable processes, giving founders more room to lead and confidence in how the work gets done.
